How Property Developers Set Up Proper Books When Converting a Completed Project to Rental

Who this is for

You've completed a residential or commercial development and are now transitioning to the rental phase. The project was financed through a combination of equity and loans. You need to set up proper books for the rental company: reflect the property value on the balance sheet, record the development loans, and begin tracking rental income and expenses going forward. You have no prior accounting system.

The problem

Transitioning from development to rental operations requires a one-time but complex accounting setup: the buildings need to be recognised as assets on the balance sheet at their carrying value, the outstanding construction loans need to be recorded as liabilities, and the equity needs to be computed as the difference. This is the opening balance exercise, and getting it wrong means the financials are misleading from the start.

Beyond the opening balance, many developers underestimate the ongoing accounting complexity of rental operations: multiple tenants, partial payments, deposit management, maintenance expenses, and the need to produce financial statements for lenders who require proof of debt service coverage. Starting with a proper system rather than retrofitting one 12 months later saves significant time and cost.

What you can achieve

  • Balance sheet correctly reflects property assets, construction loans, and equity from the first day of operations
  • Opening balances verified to balance before any rental transactions are recorded — clean starting point
  • First rental invoices and M-Pesa payments in the GL from week one — no gap in the financial history
  • Lender covenant compliance reports producible at any time — no last-minute accounting scramble
  • Transition from development accounting to rental accounting is structured, documented, and auditable
  • Chart of accounts suited to a property rental company from the start — no retrofitting required later

The Kokodi workflow

  1. Step 1

Create PMC and configure chart of accounts

    Setup

Set up the rental company as a PMC in Kokodi. Kokodi seeds 67 standard accounts covering assets, liabilities, equity, income, and expenses. Customise for the specific development.

  2. Step 2

    Set up fiscal year

    Setup

Define the financial year start date. This determines the period for all P&L and balance sheet reporting going forward.

  3. Step 3

    Enter opening balances

    Action

Use the Opening Balances module to enter: property value (DR Fixed Assets), construction loans outstanding (CR Loans Payable), bank balance, and computed equity. Balance sheet must balance.

  4. Step 4

    Add buildings and units

    Setup

Create the building(s) and all units in Kokodi with their rent amounts, billing cycles, and VAT treatment. The structure is ready for tenant invitations.

  5. Step 5

Invite first tenants and issue invoices

    Action

Invite tenants, collect deposits, and begin the billing cycle. The first rent invoice posts to the GL automatically: DR AR 1050 / CR Rent Income 4010.

  6. Step 6

Monthly rental operations run on autopilot

    Automated

Invoices generate, M-Pesa payments match, reminders send — all automatically. The GL captures every transaction from day one of operations.

  7. Step 7

    Lender reporting package generated

    Report

Produce Balance Sheet, P&L, and Cash Flow Statement for lender covenant compliance. Loan outstanding, rental income, and DSCR calculable from the same set of books.
