How Commercial PMCs Complete Bank Reconciliation in Hours Instead of Days

Who this is for

Your commercial property management company processes high transaction volumes: dozens of tenant payments by bank transfer each month, supplier payments, petty cash, and M-Pesa collections. Your accountant currently spends 2 to 3 full days each month-end cross-referencing the bank statement against the GL — a process that's not only slow but where errors routinely get carried forward to the next month.

The problem

Bank reconciliation is the cornerstone of financial integrity — if the GL doesn't match the bank, the financials can't be trusted. But manual reconciliation at scale is genuinely painful. A 200-line bank statement requires matching each line to a GL entry: rent receipts, supplier payments, bank charges, reversals, tax payments. Any transaction that was in the bank but not in the GL, or vice versa, needs investigation.

Without systematic tooling, the reconciliation is done by eye — scrolling between a bank statement spreadsheet and a GL export, ticking off matches. It's slow, error-prone, and the 'unreconciled' items at the bottom of the spreadsheet have a way of never getting properly investigated. Month after month, the carried-forward differences accumulate, and by year-end the accountant is dealing with a significant mystery balance.

What you can achieve

  • Month-end reconciliation completed in 2 to 4 hours instead of 2 to 3 days — staff time reclaimed
  • M-Pesa transactions auto-matched mean 70–80% of reconciliation is done before you start
  • Unmatched items surfaced immediately — no mystery differences carried forward for months
  • Reconciliation report provides audit-grade evidence that the books are complete and accurate
  • Bank charges and non-standard transactions captured before month-end — clean GL always
  • Finance team confidence in the numbers increases when reconciliation is systematic, not manual

The Kokodi workflow

  1. Step 1

    Download bank statement

    Action

Export the bank statement from your bank's online portal as a CSV or PDF. This is the source of truth for actual cash movements.

  2. Step 2

    Load statement into bank reconciliation

    Action

Import or manually enter the statement transactions into Kokodi's Bank Reconciliation module. Each line becomes a candidate for matching.

  3. Step 3

    M-Pesa transactions auto-matched

    Automated

All M-Pesa transactions that were processed via Daraja are already in the GL. Kokodi auto-matches them to the corresponding statement lines — typically 70–80% of transactions matched instantly.

  4. Step 4

    Manual bank transfers matched

    Action

For bank transfer payments, match each statement line to its GL entry: rent receipts to invoice payments, supplier payments to AP entries. The module highlights unmatched items.

  5. Step 5

    Unmatched items investigated

    Action

Remaining unmatched items are bank charges, reversals, or transactions not yet in the GL. Post the necessary journal entries and match. No mystery balances carried forward.

  6. Step 6

    Reconciliation report generated

    Report

Once fully reconciled, generate the Bank Reconciliation report showing opening balance, transactions matched, and closing balance. The GL balance and bank balance agree to the cent.
